Membership & Member Portal


The KYVL member portal is KYVL's member database and communications center. KYVL maintains organizational contact information for communication and invoicing. Librarians and administrators are encouraged to create individual accounts linked to their member organization.

Individual portal accounts allow members to:

  • Sign up for e-lists, including KYVL News and KDL News. Work group e-lists are used for internal communication.
  • Update contact information.
  • View institutional username and password for database access.
  • View a directory of other portal members.
  • Access member-only forms to:
    • Update IP ranges
    • Report missed courier stops, claims and library closings
    • Register for events

In addition, individuals who are designated key contacts can download invoice and view payment status and update other library contacts.

Sign up

To sign up for your KYVL member portal account:

  1. Visit the portal at or
  2. Select the Sign up link to create a personal account.
  3. Enter your email address and click Register.
    If your email address is already associated with an account, click forgot your password. You may also recover your username here. Otherwise, continue with the steps below.
  4. You will be prompted to create a password. Enter and confirm password and click Create Profile.
  5. Fill in your contact information and Submit. You will receive an on-screen conformation and an email acknowledgement from the KYVL Member Portal.
  6. KYVL staff will review your information and confirm you are associated with the correct organization. Once the review is complete, you will be notified, and you will be able to view information about your organization when you are logged in.

Once your account has been approved:

  • Update your profile. (Your profile is searchable to help people find you).
  • Choose E-lists from My Features to select the lists you’d like to subscribe to.
  • Click View under KYVL Login Info to view your library’s new username and password.
  • Find people or libraries under the Member directory link.
  • If you have been designated a key contact for your information, you will be able to view your library's invoice and payment status.

Key contacts

Key contacts have permissions to view institutional invoices and can make changes to other user accounts at their institutions.

  • For most public and academic libraries, special libraries and private schools, library deans or directors are designated as key contacts.
  • For public school districts, many librarians and administrators are designated as key contacts.

Key contacts can assign or remove key contact privileges for others at their institutions.

Viewing invoices

Two kinds of invoices are available in the member portal - individual and organizational.

  • The Invoices link on the My Profiles tab apply to event registrations for individual members. Annual organizational membership invoices do not appear here.
  • Key contacts can access renewal invoices and payment status by following these steps after logging in:
    • Choose the Profile and Features link.
    • From My Profile, choose Your Organization. A new horizontal submenu will open below the My Profile and My Features tabs.
    • From the new submenu, click the green Invoices link.

Add KYVL to your safe senders list or whitelist

The KYVL Member Portal is a primary channel for KYVL communications. Members who are having issues receiving emails sent through the KYVL Member Portal generally need to add KYVL's sending address and/or IPs to an internal whitelist or safe senders.

Whitelisting is a process where an email administrator adds IP addresses for a sending server to a list in the firewall or spam software, in order to ensure delivery of messages sent from those IPs or sending domain. Adding IPs or a domain to a whitelist is generally done on the server level. This helps make sure emails that you want to avoid being filtered out by mistake.
